Search Pages | Result List | Record View | Tree View
Your hitlist stays in place until you carry out a new search: you can go back to it at any time by clicking on the browser 'Back' button or pressing the Backspace key. Some of the entries in the hitlist represent only one document; others provide a general description of a larger set of documents, e.g., a series of minute books or a collection as a whole.
The result of your query is displayed as a summary list. It may run to several pages with 15 records per page. Move through the pages by clicking on | First, <<Back 5, <Previous, Next>, Forward 5>> and Last |.
Only the Title, Date and CatalogueRef fields are displayed in the Result List for searches in the Catalogue database; AuthorizedFormsOfName for Name Authority database; and PlaceName for Places Authority database. To find out more about a particular entry, click on the 'Details' link on the left hand side and this will take you to the Record View.
If you used the 'Any text' field then the search term may be in a field which is not displayed in the Result List. To find out more about a particular entry, click on the 'Details' link on the left hand side and this will take you to the Record View where your search term will be highlighted in bold.
The Result List for catalogue searches is arranged roughly by CatalogueRef and can be re-ordered by clicking on the column titles - Title, Date and CatalogueRef. Use the browser Back button or Backspace on the keyboard to return to the original sort order. Please note that when sorting on the Date field nd (i.e., no date) will not be recognized. The Places and Names Authority databases do not have this facility.
This displays the entry in detail. Move through the Result List by clicking on | First, <<Back 5, <Previous, Next>, Forward 5>> and Last | to view each description in turn. To return to the Result List click on the 'x of y' link between <Previous and Next> (where x is the number of the currently displayed record in the Result List and y is the total number of records in the Result List, e.g., 12 of 371 is the twelfth record in a Result List of 371 records).
Only fields with data will be displayed and your search term will be highlighted in bold.
For the Catalogue database the field order is: Level, Repository, Title, Date, Description, Extent, CatalogueRef, Appraisal, Accruals, Arrangement, Finding Aids, Access Status, Closed Until, Access Conditions, Copyright, Language, Physical Description, Creator Name, Administrative/Biographical History, Custodial History, Acquisition, Originals, Copies, Related Material, Publication Note, and Notes. The Glossary contains brief definitions for each field.
For the Names Authority database the field order is: TypeOfEntity, AuthorizedFormsOfName, Jurisdiction, ParallelFormsOfName, OtherFormsOfName, IdentifiersForCorpBodies, Gender, DatesOfExistence, History, DatesAndPlaces, LegalStatus, Activity, Mandates, AdminStructure, Genealogy, GeneralContext, Relationships, and Source. For the Places Authority database the field order is: PlaceName, Hamlet, Parish, Town, County, Country, GridRef, and Notes. The Glossary contains brief definitions for each field.
Archives are generally catalogued in a hierarchical manner. The collection as a whole is described and then its sections and sub-sections and so on down to the individual documents. It is important sometimes to see where a record fits in to the collection as a whole. At the top of the screen, the titles of the next levels above the catalogue entry are displayed up to and including the title of the collection to provide this general context. The first line is the title of the collection. If no levels are described then the record being displayed is a Fonds level record and will contain information about the collection as a whole.
To see an overview of the whole collection click on the tree icon [
], or the link next to it, found
towards the bottom of the page. This will open the Tree View.
Tree View
The Tree View shows the relationship between the different records in the catalogue. The entries are displayed hierarchically as a tree with branches with each lower level represented as a branch and indented to the right. When the Tree View is opened from the Record View, the current record will be displayed at the top of the screen. If the catalogue has many levels, only the branch of the current record will be opened. To view other branches, click on [+]. To view record descriptions, click the document icon. If the tree is too long to fit on the screen, you can can scroll up and down using the scroll bar on the right of your screen.
